AI Assets gives content creators and org admins one place to add the files, links, videos, and visual content that Yoodli’s AI should use during a roleplay.
AI Assets replaces the previous setup where reference materials and on-screen visuals lived in two separate sections. You can now manage everything from a single list and choose whether each asset is used for background context, shown to the learner, or both.
Before you start
AI Assets is available to content creators and org admins while editing an org roleplay in the roleplay builder.
Keep these details in mind:
AI Assets is optional.
Learners don’t see the AI Assets section.
Personal roleplays created by members don’t include AI Assets.
Some assets can provide context but can’t be displayed on screen.
Adding or changing assets may briefly place the roleplay in a processing state.
How AI Assets works
Every item you add is treated as an asset. Yoodli’s AI reads these assets for context when running the roleplay.
Each asset includes a Show to user toggle that controls whether it can also appear on the learner’s screen:
Show to user off: The AI uses the asset as background context. The learner won’t see it.
Show to user on: The AI can display the asset during the conversation in addition to using it for context.
This lets one asset list support both silent reference material and visual content for learners.
Add an asset
Go to Builder → Roleplays.
Open the roleplay you want to edit.
Find the AI Assets section. You may need to expand it using the chevron.
Click Add.
Choose the type of asset you want to add.
Set Show to user on or off for the asset.
You can add assets in two ways:
Upload or choose files
Upload a file from your device or select an existing file from your Yoodli library.
Supported categories include:
Documents
Images
Audio
Video
Each file type has its own size limit, which appears in the upload window.
Files may take a few moments to process. Videos continue processing in the background and can’t be shown to learners until processing is complete.
Add a link
Add a webpage for the AI to use as background context or display during the roleplay.
Each roleplay has a limit on the number of links it can contain. Once you reach that limit, the option to add another link becomes unavailable.
Create a card deck with AI
You can turn your source files into a slide-style card deck that the AI can present during the roleplay.
Add at least one reference file to AI Assets.
Click Create with AI.
Select the source files you want Yoodli to use. No files are selected automatically.
Generate the deck.
The completed deck is added as its own asset.
The Create with AI button remains disabled when:
The roleplay doesn’t contain a reference file.
A deck is already linked to the roleplay.
The roleplay type doesn’t support deck generation.
Hover over the disabled button to see which requirement hasn’t been met.
For better results, use a focused set of source files. Adding too many sources at once can reduce the quality of the generated deck.
Show assets during a roleplay
When Show to user is on, the AI can display the asset during the conversation.
Set the display order
Drag asset rows to control the order in which the AI presents on-screen assets.
Reordering doesn’t affect assets with Show to user turned off.
Add display instructions
Expand the asset’s instructions field to tell the AI how or when to display it.
AI rephrasing and prompt-rating tools are available to help you improve these instructions.
Supported on-screen formats
Some file types can provide context but can’t be displayed on the learner’s screen. These include:
PowerPoint files
Excel files
Word documents
Audio files
For these files, the Show to user toggle is disabled and a tooltip explains the limitation. The AI can still read the file for context.
Convert an Office document or slide deck to PDF if you want the AI to display it during practice.
PDFs and videos include previews in the AI Assets section. Office files display a file-type icon instead of a preview.
Use strict mode
Strict mode controls whether Yoodli’s AI can use information beyond the assets you added.
Strict mode on: The AI uses only your assets and doesn’t draw from its general knowledge. This works well for compliance, policy, and brand-sensitive roleplays.
Strict mode off: The AI can use both your assets and its general knowledge.
Strict mode uses more roleplay capacity because files aren’t summarized before the AI uses them.
Check roleplay capacity
There’s no fixed limit on the number of files you can add. Instead, each roleplay has a capacity limit based on how much content the AI can use at once.
The capacity meter shows the current percentage:
Purple, below 70%: The roleplay has room for more content.
Orange, 70% or higher: The roleplay is getting large.
Red, over budget: The roleplay exceeds its available capacity.
If your roleplay is over capacity, remove unnecessary assets or replace large files with more focused versions.
Frequently asked questions
Do learners see the AI Assets section?
No. AI Assets only appears in the roleplay builder. Learners may see assets with Show to user turned on when the AI chooses to display them.
What’s the difference between a reference file and visual content?
They’re managed in the same list. The Show to user setting determines how the asset is used.
When the setting is off, the asset is reference-only. When it’s on, the AI can also display the asset to the learner.
Can I show a Word document or PowerPoint deck on screen?
Not directly. Convert the file to a PDF if you want the AI to display it. Office files and audio can still provide context even though they can’t be rendered on screen.
Why does strict mode use more capacity?
Strict mode doesn’t summarize your files before using them. This allows the AI to stay closer to the source material, but it requires more of the roleplay’s capacity.
Is there a maximum number of files?
No. Capacity, rather than file count, is the limit. Use the capacity meter to check how much room remains.
